Company templates: the full guide
A company template is a full card every team card is built from: what is personal, what is team-wide, and when changes actually reach the cards.
A company template is a full card, design plus content, that every team card is built from. You create it on the Company templates screen (team plans), and you can keep several templates, for example per department. One of them is the default, and a new member's card is created from it automatically.
Creating a template
Press New template, pick a name, a business category (it shapes wording and card behavior, and can be changed later in the template editor's sharing tab) and a starting point:
- Build with AI: describe the business in one sentence and the system builds a complete template.
- The design gallery: business presets for teams plus every system design, shown as live previews. Picking a brand color re-tints the whole gallery in your color, and the color is kept in the created template.
- From an existing card: start from a design you already have.
- Blank: start from scratch.
The template opens straight in the full card editor, the same editor as a regular card.
Personal or Team-wide
Every section and key field in the template carries a two-state choice, under the heading Who manages this section?:
- Personal: starting content. It appears on each member's card as a starting point, and every member can change it on their own card. Personal fields such as name, job title and phone are not even filled in the template: a dashed placeholder box appears instead, because each member fills in their own value.
- Team-wide: the template's value appears identically on every card, and members see it locked and cannot edit it.
Every section row in the template editor shows a small chip with its current state, even while the section is collapsed.
Two things are always company-managed, in every template: the cards' business category, and the QR code center (the logo or mark shown in the middle of the code). The QR code itself stays unique per card, only its look is uniform.
An empty section in a template
A Personal section left empty will simply be filled by each member on their own card. A Team-wide section left empty will not appear on the cards at all until you fill it.
The card's bottom menu
The card's bottom menu (WhatsApp, call, book a meeting and so on) is edited in the template too, with the same choice:
- Personal: the template's bottom menu is the starting point of every new card, and each member may adjust it on their own card.
- Team-wide: the whole team gets exactly the same bottom menu, and the system points each button at the member's own content (for example, a call button dials that member's number).
The save-contact button settings always stay personal, because they are each member's lead channel.
AI help inside a template
Every section has AI assist for better wording, and the language bar translates the template into more languages in one click (initial fill and updating existing translations). You can also import Google reviews and mark featured items, exactly like on a regular card. These actions use the workspace AI quota.
When changes reach the cards
Saving the template does not change the team's live cards. Changes reach them only when you press Update team cards in the editor toolbar. An amber dot on the button means there are changes not yet applied. The button is active while uniform branding is on (Company templates screen).
The update also runs automatically at explicit moments: turning uniform branding on, switching the default template, a new member joining, and updating the company logo or name. Before an action that changes existing cards, the system shows a warning with the real number of affected cards.
Uniform branding and the company logo
The Uniform branding for all cards switch on the Company templates screen is what makes the locks actually apply. The first template you create turns it on automatically (with a warning first), and while it is off the cards keep their current look. Deleting the last template while branding is on turns it off automatically.
The company logo uploaded on the same screen appears in the QR code center and on cards whose template has no logo of its own.
New members and the company directory
People joining the team get a card built from the default template, with their personal details left to fill. On the Company directory screen you can also create a card for a member from any template, see how complete each card is, and send a completion reminder by email.
Share tools branding
The company brand also reaches the email signature, meeting backgrounds and social covers: the logo and colors are offered there as defaults, and each tool has its own team template managed inside the tool itself, including a separate lock. The tools' locks are independent of the uniform-branding switch. The Company templates screen shows each tool's status at the bottom of the page.
Who can edit
Owners, managers and editors edit templates. Regular members edit only their own card, within what the template fixed.
